Instructions for Authors

The responsibility for the included texts lies with the Scientific Organizing Committee of each event. They determine whether to accept the presentation of the material at the conference. The detailed acceptance of the text is defined by the Special Editor of each volume, who has been selected by the Scientific Organizing Committee. Thus, there is supervision of the texts, but not necessarily formal peer review.

Those interested in having the proceedings of a scientific meeting published in RMxAC should present their congress project to the Editor-in-Chief of RMxAC, including a description of the topic, invited speakers, and the list of the Scientific Organizing Committee. Once the inclusion of the proceedings in RMxAC is accepted, the requirements regarding the quality, length, and format of the texts to be published will be agreed upon with the Special Editor.

Detailed Instructions

The Special Editor must register on the platform, where they will have the ability to interact with each author. https://astronomia.unam.mx/journals/rmxac/about/submissions

Authors must also register on the platform, where formatting instructions are specified.

The complete version of each article must be in PDF format, generated using the LaTeX file from the journal's macro. It must also be accompanied by the LaTeX source file, as well as figure and bibliography files (in BibTeX format). These files must be accompanied by an email serving as a cover letter, sent by the main author or the corresponding author.

All works must be prepared in English to achieve global visibility, using the latest version of the RMxAC LaTeX macro, available in the RMxAC LaTeX Formats. The templates are distributed on the Overleaf digital collaboration platform, widely used in the scientific community with over 25 million users worldwide.

Contributions can be of different lengths: extended, intermediate, or brief. Requirements differ depending on their length. In all cases, recent original results are expected.

For extended contributions:
  • Include an Abstract and a Summary in Spanish (the latter may be provided by the editors if necessary). Both must be 12 lines or less.
  • Include 1 to 6 Keywords from a list common to other peer-reviewed Astronomy and Astrophysics journals.
  • Tables must be numbered and have a title or header.
  • Figures must be numbered, in PDF, JPEG, PNG, or TIFF format, and include an explanatory caption.
  • Each Table and Figure must be properly referenced within the text of the article.
  • If including material from other publications, the corresponding permissions must be provided.
  • References must be accurate and complete; the style must follow recent international astronomical standards (RMxAC follows the standardized AASTeX format). The author must provide the complete BibTeX file <name>.bib and include, in all cases where it exists, a link to the corresponding Digital Object Identifier (DOI).
For intermediate contributions:
  • Tables must be numbered and have a title or header.
  • Figures must be numbered, in PDF, JPEG, PNG, or TIFF format, and include an explanatory caption.
  • Each Table and Figure must be properly referenced within the text of the article.
  • If including material from other publications, the corresponding permissions must be provided.
For brief contributions:
  • The length of the abstract must not exceed 15 lines.
In all cases:
  • References must be accurate and complete; the style must follow recent international astronomical standards (RMxAC follows the standardized AASTeX format). The author must provide the complete BibTeX file <name>.bib and include, in all cases where it exists, a link to the corresponding Digital Object Identifier (DOI).
  • All authors of each contribution must approve the final publication via an email, which they must send individually to the Special Editor on the platform.
  • For more information on the RMxAC style, please refer to the example file included in the RMxAC macros.

Once a contribution is properly submitted to the platform, the editorial process begins, and the Special Editor of the volume can communicate with the author for subsequent review and acceptance.

Contributions will be processed in LaTeX using the templates available on the Overleaf platform. In the left section (file menu) of the template, select any of the following options according to your contribution:

  • RMxAC extended.tex
  • RMxAC shortpaper.tex
  • RMxAC abstract.tex

It is important to save the necessary Overleaf files on your local computer and proceed to work on them.

Instructions for Special Conference Editors

Each conference editor (CE) must register on the RMxAC platform. Following this step, the RMxAC Editor will grant the CE privileges to edit the proceedings. The CE is in charge of all communications with the authors.

The platform allows the CE to review and edit the contributions for that conference.

The compilation and submission of the complete issue will be coordinated by the CE along with the RMxAC Editor for final review and processing. It must be verified that all authors of each contribution approve the final publication.

It is expected that, in addition to the set of contributions, the CE provides the following material:

  • Preface including the location and date of the conference, the scientific organizing committee, the local organizing committee (if applicable), support received, the editors of the proceedings, etc.
  • Group photograph (if applicable).
  • Table of contents in the desired order.
  • List of participants.
  • The Editor's Copyright Form signed by each of the Special Editors of the conference. The percentage of individual contributions among the editors must sum exactly to 100%.
  • The acceptance of the ethical principles of RMxAC.

Authorship Identification

The platform uses the Open Journal Systems (OJS), which contains a user registration system accessible at https://astronomia.unam.mx/journals/RMxAC/user/register, where the data of each co-author is captured, including their full name, academic affiliation, and a valid email address. Typically, the registration of a new contribution (including the capture of co-authors' information) is performed by the person acting as the first author or corresponding author. For this person, the platform requires a valid email address for fluid communication with the editorial team.

The platform is officially registered with the academic organization Open Researcher and Contributor ID (ORCID; https://orcid.org/) and allows for the registration of ORCID IDs of authors and co-authors of articles who have an ORCID identification. ORCID identification is currently used by most high-impact journals and is considered an official record of affiliations and academic backgrounds.

Peer Review Policy

As previously explained, the review of the material depends on the Special Editors of each included astronomical event.
